Position Overview:

Ultimate Staffing Services is actively seeking an organized and detail-oriented Sales Administrative Assistant to join their client's team in California. This role is integral in providing support to the sales team and project managers, ensuring seamless coordination between departments in a dynamic construction environment. The ideal candidate will possess a strong ability to manage administrative duties while maintaining excellent client communication and assisting in the sales process.

Responsibilities:

The Construction Sales Administrative Assistant provides vital support to the sales team and project managers by handling administrative duties, maintaining communication with clients, organizing documents, and assisting with the sales process. This role ensures smooth coordination between the sales, operations, and customer service departments in a fast-paced construction environment.


Key Responsibilities:

  • Provide administrative support to sales representatives and project managers.
  • Prepare proposals, bids, contracts, and presentation materials.
  • Coordinate and schedule client meetings, site visits, and sales appointments.
  • Maintain and update CRM system, sales logs, and customer databases.
  • Process new client onboarding documentation and assist with permitting or compliance paperwork as needed.
  • Track project timelines, deliverables, and communication throughout the sales cycle.
  • Communicate with clients via phone, email, and in-person to provide updates and answer inquiries.
  • Organize and maintain physical and digital filing systems for contracts, permits, and drawings.
  • Generate sales reports, invoices, and related documentation for internal use or customer submission.
  • Assist in marketing and promotional tasks, including updating social media or creating flyers and brochures.
  • Ensure compliance with company policies, safety standards, and customer service protocols.

Qualifications:

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • 2+ years of administrative experience, preferably in a construction or sales environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively with cross-functional teams.
  • Familiarity with construction terminology, documentation, or permitting is a plus.

Required Work Hours:

Monday - Friday, first shift

Benefits:

Competitive salary with a pay range of $25.00 to $28.00 per hour, based on experience. Minimal travel required.
